REQUEST FOR ACTION BY THE LEGISLATIVE COUNCIL 
 
All requests may be typed and submitted to the Executive Vice President no later 5:00 p.m. Thursday in order to be included in the agenda for the following Tuesday. The Executive Vice President reserves the right to delay the Request for Action to a later Council session if the Executive Vice President feels the agenda for the next schedule meeting is full.

Synopsis: Reallocation Within the Office of Academic Affairs

Whereas, the Office of Academic Affairs (2012-2013 year) is hosting an end-of-the-year and transition banquet for its current staff members (50)  and its prospective staff members (40) on Sunday, June 2nd, 2013 form 1:00 pm to 3:00 pm,

Whereas, the current Office Contingency Acccount (6420-7200) does not reflect the total amount needed to fund the banquet and, at this time, cannot currently bankroll the banquet planned,

Whereas, the banquet expenses include:

  • Room Booking: $408.00

o   Pacific Ballroom D

o   Roundtable Banquet for 80 people

o   Stage (2x2) , Podium, A/V Tech, (Mic and Projector)

o   Can furnish room booking by request

  • Food: $ 414.24   

o   Stonefire Grill:  (Note: Each pan feeds roughly 20 people)

§  (3) Marinara Full Pan: $46.99 = $140.97

§  (3) Caesar Salad: $29.99 = $89.97

§  (3) Garlic Mashed Potatoes: $49.99 = $149.97

o   Total: ($380.91 + Tax) = $414.24

  • T-Shirts

o   $400

o   Will furnish design and invoice on request

Whereas, the Speakers and Debate Account (6423-7270) has excess funds per the recent unforeseen cancellation of the 2nd Speaker Engagement (slated to have occurred on May 15th),

Whereas, the banquet in and of itself was an unforeseen, but positive collaboration between the outgoing VP of Academic Affairs and the incoming VP of Academic Affairs,

Whereas, the outgoing VP of Academic Affairs and the incoming VP of Academic Affairs has created a program that is meant to activate, inspire, and empower the new staff members to the academic advocacy, leadership/mentorship development, and academic engagement that the Office of Academic Affairs strives to emulate,

Whereas, the reallocation of the funds would aid in creating a hopeful lineage for the Office of Academic Affairs so that its members can benefit from a formal and lighthearted transition,

Whereas, per B47-32 and B47-36 has set the precedent for the reallocation of funds to bankroll ASUCI attire (also at the end of the year),

Whereas, per B47-33, the reallocation of excess funds from the Speakers and Debate account to fund other office events has occurred before,

Let it be resolved that the incoming VP of Academic Affairs readjust their budget to reflect money needed for a transition banquet (Spring 2014) for the next VP of Academic Affairs,

Let it further be resolved that, $400 be reallocated from the Speakers and Debate Account (6423-7270) into the Office of Academic Affairs T-Shirts Account (6406-7200),

Let it finally be resolved that, $900 be reallocated from the Speakers and Debate Account (6423-7270) into the Office of Academic Affairs Contingency Account (6420-7200).
